How to Handle a Complaint About a Product Bought in Poland and Shipped Abroad
Large orders sometimes include a missing, damaged or incorrect item. This does not mean that the customer must deal with the problem alone. A quick response, clear evidence and identifying the responsible party are essential.
Check the shipment when it arrives
The condition of the shipment should be checked before packaging is discarded or products are installed.
- Count pallets, packages and individual items.
- Compare labels with the invoice and specification.
- Photograph the complete shipment before unpacking.
- Photograph any visible packaging damage.
- Keep labels, batch numbers and transport documents.
- Record reservations on the delivery document whenever possible.
Identify the actual cause
A broken item may have been damaged in transport. A wrong colour may result from an ordering error, a supplier mistake or a production-batch difference. A missing item may still be at the supplier's warehouse.
Before filing a complaint, determine whether the matter concerns the seller, manufacturer, carrier, warehouse or an error in the approved order.
Prepare useful evidence
- invoice, payment confirmation and order number
- approved quotation, design or specification
- messages confirming dimensions, colour and product version
- photos of the product, packaging and labels
- transport documents and delivery report
- a short description and the date the problem was discovered
- information on whether the product has been installed or used
A precise report makes it easier to establish the facts and propose a solution.
Do not install an evidently defective item
If a problem is visible before installation, pause work on that item. Cutting, adapting or installing it may make the cause harder to assess.
Document the issue first. Decide on further work only after the situation has been reviewed.

- replacement of the product or part
- delivery of a missing component
- repair on site
- price reduction or partial refund
- remaking a custom product
- a practical settlement agreed by both parties
When the goods have already arrived, the parties must also decide who arranges and pays for replacement transport, return or repair.
